Case study
A B2B portal for distributors: how a mineral water producer saved 300 hours a year
300 hours a year a manager no longer spends re-typing orders by hand
- Client
- Krivoozerska KhSF LLC — mineral water producer
- Industry
- FMCG: manufacturing and distribution
- Launched
- February 2024
- Engagement
- turnkey development and continued evolution of the system
The problem
Orders arrived through three non-automated channels: by email from distributors, each in their own format, and through two EDI platforms from the retail chains — EDIN separately, Vchasno separately. A manager then re-keyed every line item into the ERP by hand: counterparty, product, contract, warehouse, packaging, shipping date.
What that led to:
- around 8 hours every week — over 300 hours a year — spent mechanically copying data;
- three work windows instead of one order list: email, EDIN, Vchasno;
- data-entry errors: wrong contract, wrong packaging, wrong quantity;
- orders lost inside one particular manager's mailbox;
- the distributor could not see the status of their order and called to ask.
The bottleneck was neither logistics nor production — it was the way an order was accepted in the first place.
The solution
We built a closed B2B portal: the distributor places orders themselves, retail chain orders are pulled in from EDI automatically, and the producer sees all of it as a single list — ready to be loaded into the ERP.
- Order sync with EDIN and Vchasno
- Order templates
- Weight and pallet calculator
- Document workflow with counterparties
- In-app correspondence
- Status change notifications
- CSV export and ERP import
Results
- Order processing — from 8 hours a week to ~10 minutes a day, around 300 hours freed up every year.
- Zero manual entry into the ERP: data lands in the system exactly as the distributor entered it or the chain transmitted it.
- Orders from every channel — portal, EDIN, Vchasno — in one window.
- Orders no longer get lost or arrive overloaded: weight control works before dispatch.
- The distributor places orders themselves, around the clock, and transparent statuses removed the "what's happening with my order" calls.
- Documents and correspondence are stored by the company, not in employees' mailboxes.
For the client this means lower operating costs, a higher level of service and a manager who does sales rather than copying rows.
